A personal assistant (PA) is required for a fast growing logistics fulfilment business in Manchester. This role works closely with senior directorial staff to provide secretarial and administrative supports which help managers to make the best use of their time, on a one-to-one basis. Your main duties include: • screening phone calls, enquiries and requests, dealing with incoming email, faxes and post, and handling them when appropriate; • organising your manager’s diary and making appointments and meetings • organising and attending meetings and ensuring the manager is well prepared for meetings; • meeting and greeting visitors at all levels of seniority and taking dictation and minutes; • producing documents, briefing papers, reports and presentations; • devising and maintaining office systems, including data management and filing; • arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations; • liaising with clients, suppliers and other staff. In addition to above supporting tasks, the extra duties and responsibilities include: • carrying out specific projects and research; • taking on some of the manager's responsibilities and working more closely with management; • deputising for the manager, making decisions and delegating work to others in the manager's absence; • being involved in decision-making processes.________________________________________ Skills and qualities To become a competent personal assistant, you will need to have: • Discretion and confidentiality for dealing with company’s information • extensive knowledge of logistic industry especially in warehousing and transportation. • excellent organisational skills and self-motivated • excellent written and spoken communication skills in both English and Mandarin. • accuracy and attention to detail • a calm and professional manner • an ability to carry out several tasks at the same time • excellent computer skills and proficient in Microsoft Office programmes • a flexible and adaptable approach to work • Speaking a foreign language (German or Spanish) would be an advantage ________________________________________ Hours Most of your time will be in standard office hours Monday to Friday 9:30-18:00, possibly with extra hours to meet deadlines or requirements from the managers. However, you must be available at all times, either night or day as you may be called upon! You would be based at an office, but you may sometimes travel to go to meetings and other events.
